What is an Invoice?

An invoice is a document sent to a buyer that specifies the amount and cost of products or services that have been provided by a seller

Why do you need an Invoice?

An invoice serves as proof of purchase for the buyer and seller.

What information should an invoice have?

A typical invoice may contain:

  • The word “Invoice”
  • A unique reference-number – “Invoice Number”
  • Date of the invoice
  • Name and contact details of the seller
  • Name and contact details of the buyer
  • Description of the artwork
  • Price of the artwork
  • Taxes, if relevant (e.g. GST)
  • Additional charges like packing and shipping
  • Total amount charged mentioned in numbers with relevant currency mentioned
  • Total amount charged mentioned in words
  • Payment information – Bank details, etc
  • GST number, if relevant
  • Payment terms, if relevant
  • Signature of the seller

When is an invoice made?

An invoice is made when a buyer is interested in purchasing a work. The artist/ seller makes or “raises” an invoice with all required details and sends it to the buyer in a soft copy format. Once the payment is made, the artist/ seller prints the invoice, signs it and hands it over with the Certificate of Authenticity.
