MOVEMENT REPORT (CHALLAN)



What is a movement report?

A movement report, commonly known as ‘challan’ is a signed communication between two parties that confirms the movement of an artwork from one location to another and its receipt in good condition unless specified otherwise.


Why do you need a movement report?

A movement report is created by the party sending the artwork and clarifies the date and time of movement for both the sending and receiving parties. It also confirms that the artwork was received in good condition by the receiver, without any noticeable damage.


When to create a movement report?

A movement report should be created if in case you are sending your work to another party (eg. A gallery, a museum, etc.) or if the organisation has not sent one at time of collection of artwork.


When personally sending the artwork, the movement report should be signed by the sender (an authorised person from the studio) and the receiver (an authorised person from the gallery, museum, institution, home etc the work is being sent to) and a scanned or physical copy should be retained for internal records.


If the work is being handed over to a shipper, the movement report should be signed by the sender (an authorised individual from the studio) and the shipper (an authorised person collecting the artwork on behalf of the shipper) and the scanned copy should be retained for internal records.


If you are receiving the artwork, a movement report should be followed up by a detailed Condition Report (you will find a template for this too under “Resources”) of the work so that the sending party can be notified as soon as possible regarding any damages to the work and restorative action can be taken as necessary.
